OTR DISPATCH/PLANNER

FULL-TIME 


Ensure customers receive efficient, timely and courteous service by effectively planning, directing, and coordinating the movement of over-the-road drivers and tractor/trailers and the movement of tractor/trailers and freight between locations.

  

ESSENTIAL FUNCTIONS AND RESPONSIBILITIES 

  • Direct activities related to dispatching, routing, and tracking transportation vehicles.
  • Plan, organize, and manage the work of subordinate staff to ensure that the work is accomplished in a manner consistent with organization requirements.
  • Get directions and arrange freight pick up and delivery appointments, if needed.
  • Solve daily driver issues or concerns.
  • Conduct investigations to verify and resolve customer or shipper complaints.
  • Collaborate with supervisors and other staff members to formulate and implement policies, procedures, goals, and objectives.
  • Serve as contact person for all drivers within the OTR division.
  • Promote safe work activities by attending company safety meetings and meeting with individual drivers.
  • Maintain records of departure time, destination, cargo, and expected time of return.
  • Complete applicable paperwork in a manner consistent with established company guidelines.
  • Seek, find, and negotiate freight rates for back-hauls.
  • Post equipment on DAT and other available Internet posting boards.
  • Utilize company software for various dispatch functions such as to enter new brokers, process credit checks, and enter, dispatch, and terminate orders.
  • Provide support to logistics dispatch through working knowledge of logistics dispatch functions.
  • Audit and scan customer and carrier paperwork.

QUALIFICATIONS

EDUCATION/CERTIFICATION: 

  • High school diploma or GED. 

REQUIRED KNOWLEDGE: 

  • Knowledge of ways to move people, goods or materials.
  • Knowledge of computer hardware and software.
  • Knowledge of geography and how to describe physical locations, features, and      relationships.
  • Working knowledge of multi-line phone system and office machines, such as fax      machine and copier.

EXPERIENCE REQUIRED: 

  • One to two years related experience, trucking industry preferred. 

SKILLS/ABILITIES:

  • Ability      to multi-task, work effectively with a wide-variety of people, perform      work accurately and thoroughly, use thinking and reasoning to solve a      problem, communicate effectively with others using the spoken word,      communicate clearly and concisely in writing, listen to others,      understand, and ask questions, take care of the customers’ needs while      following company procedures, pay attention to detail, judge the costs and      benefits of a possible action, think of new ideas and original or creative      ways to solve a problem, manage time of self and others, ability to find      a solution for or to deal proactively with work-related problems, and      must possess excellent telephone etiquette skills.

  

PHYSICAL ACTIVITIES AND REQUIREMENTS OF THIS POSITION

FINGER DEXTERITY: 

Must frequently use hands and fingers to use multi-line telephone system, computer, copier, fax machine and to accept packages/mail.

TALKING: 

Must frequently convey detailed or important information, instructions or ideas intelligently, accurately, professionally and quickly. Must have the ability to write simple correspondence and memos and to effectively present information in one-on-one and small group situations.

AVERAGE HEARING: 

Must be able to hear average or normal conversations via the telephone and in-person and receive information.

AVERAGE VISUAL ABILITIES: 

Average, ordinary visual acuity necessary to prepare or inspect documents, products or see telephone, copier, fax machine and computer screen.

PHYSICAL: 

While performing the duties of this job, employee is regularly required to sit, talk and hear. Work is sedentary, sitting most of the time. Exerts up to 5-10lbs of force, as needed to unload/move packages and office supplies. 

  

WORKING CONDITIONS

Position is in an office environment, which requires the use of office equipment. Equipment includes, but is not limited to, computer, telephone, fax machine, copier, printer, etc. The noise level in the office is moderate.

  

MENTAL ACTIVITIES AND REQUIREMENT OF THIS POSITION

REASONING ABILITY: 

Position requires the ability to solve practical problems and deal with a variety of concrete variables in situations where only limited standardization exists. Position also requires the ability to interpret a variety of instructions furnished in written, oral, diagram, or schedule form.


MATHEMATICS ABILITY: 

Position requires the ability to utilize basic math skills in the form of addition, subtraction, multiplication, division, fractions and decimals.


LANGUAGE ABILITY: 

Must have the ability to communicate information in a clear and concise manner in both verbal and written communications, using a good vocabulary. Must have the ability to respond to common inquiries from employees, external customers and other callers.
